Working-time register in Belgium

The register answers a plain question: which hours were worked. It does not replace the contract, the posted rota, or the payroll calculation done by the social secretariat.

Rota, register, payroll

The rota says what was planned. The register says what was clocked. Payroll turns those hours into pay, with the rules your social secretariat already applies: part-time work, irregular hours, premiums. Horodata stops at the register.

Mixing the three in one spreadsheet is common, and brittle. An overwritten cell deletes both the plan and the time worked. A separate register keeps clock-in, clock-out, breaks and corrections.

What this register contains

For each spell of work: the employee, clock-in, clock-out, break minutes and the source of the punch. If a location was accepted on clock-in or clock-out, latitude, longitude, accuracy and the time of the fix are stored too. Otherwise those fields stay empty.

The account is one organisation and its employees. This version has no split by shop or by site. Several places can clock into the same register; Horodata does not produce a dashboard per site. The default time zone is Europe/Brussels.

Corrections and the journal

A correction does not erase the line. It requires a reason, then a manager’s approval. It changes a punch that already exists: clock-in, clock-out or breaks. It does not create a day nobody clocked. The audit journal chains events with a hash: a change stays visible, and does not disappear because someone rewrote the day before.

That journal is read in the app. The PDF export is the readable list of entries over 90 days, with a location when one exists. The two complement each other. They are not the same document.

Retention and export

The retention target for records is five years, as a practice, not as a quotation from a statute already in force. The data stays in the account. The CSV and PDF button covers the last 90 days.

So download the file on the payroll cycle and archive it with the monthly file. A control about an older month is easier to meet with those archives than with a single export on the day of the visit. The Belgian context is in the time-tracking guide.
